# Plan and schedule tasks with AI in Floutwork

> Use Floutwork's AI task planning to break down work, add tasks without losing your place, and automatically schedule them into your calendar.

Managing tasks and managing your time are usually two separate problems — you have a task list in one tool and a calendar in another, and keeping them in sync is a job in itself. Floutwork combines both: the **Tasks** panel lives alongside whatever web page you're working on, so you can add and plan tasks without breaking your flow, and Floutwork schedules them into your calendar automatically so you always know when you'll do each one.

  <Step title="Open the Tasks panel from the sidebar">
    Click **Tasks** in the left sidebar. The panel opens alongside your current browser view — you don't need to switch apps or open a new window. Your existing tasks, grouped by date and priority, are visible at a glance.

  <Step title="Add a task from any web page">
    You can capture a task without leaving the page you're on:

    1. While viewing any web page inside Floutwork, open **Tasks** from the sidebar.
    2. Click **Add task** or use the quick-capture shortcut.
    3. Type a task name. Floutwork uses the context of your current page to pre-fill relevant details where it can.

      Add tasks as soon as you think of them — even mid-research. Capturing the thought immediately means you can close the tab or keep reading without holding the to-do in your head.

  <Step title="Use 'Plan with AI' to break a task into steps">
    For larger or more complex tasks, Floutwork's AI can help you think through the work:

    1. Select a task from the **Tasks** panel.
    2. Click **Plan with AI**.
    3. Review the suggested subtasks or steps that Floutwork generates.
    4. Edit, remove, or reorder steps to match how you actually want to approach it.

      The AI uses the context of what you're working on — the page you have open, the project you're in — to make the planning suggestions relevant to your actual work, not generic templates.

  <Step title="Let Floutwork schedule tasks into your calendar">
    Once your tasks are captured and broken down, Floutwork schedules them automatically:

    1. Set a due date or priority on a task.
    2. Floutwork finds available time in your calendar and blocks it for that task.
    3. Your calendar and your task list stay in sync — no manual time-blocking required.

  <Step title="Review and adjust the schedule">
    Your automatically scheduled tasks appear in your calendar view. From here you can:

    * Drag tasks to a different time slot if something changes.
    * Mark a task complete directly from the **Tasks** panel — the calendar block updates automatically.
    * Check upcoming tasks to see what's planned for the rest of your day or week.

    <Tip>
      Spend two minutes at the start of each day reviewing your scheduled tasks. A quick scan helps you spot conflicts or tasks that need to move before they become a problem.

  Tasks stay synced with your calendar in both directions. If a meeting is added that overlaps with a scheduled task, Floutwork will flag the conflict so you can reschedule.
